You can either send your text to ERCOFTAC to be typeset by us or typeset the text yourself. You can also provide it in a camera-ready file.
In all cases, however the paper is written and submitted to us, please be prepared to send a copy of the paper printed on paper including all equations and figures. This is important because formatting information is occasionally lost in translating from one WP package to another: we must be able to check that paragraphs, sections, and equations have been interpreted correctly.
Figures should be submitted electronically with the contribution, in the position that the author would like them to appear with respect to the text (i.e., within the text itself, or at the end of the text). Due to the reduction in quality of the final product, we are no longer accepting contributions where it is necessary to physically cut and paste figures onto the paper copy of the contribution.
Please bear in mind that the bulletin is printed in black and white. If the authors submit a contribution with color figures, those figures should be first checked in a black and white version to ensure that they are clear and understandable.
Announcements and advertisements for meetings or publications should be ONLY in MS Word so that they can be conveniently inserted in empty spaces within the text and made to look consistent with other announcements.
Contributions to the Bulletin to be typeset by us should be prepared preferably with Microsoft Word (Macintosh or PC). This is the preferred method of submission. Contributions prepared with this word processing program can be typed in a standard way (normal spacing, single column, etc).
However, potential contributors are urged to refrain from using many different paragraph styles since this complicates the insertion of a contribution in the PageMaker program. Furthermore, if a contribution has many special symbols or 'heavy' embedded figures, authors are requested to consider using LaTeX as the platform for producing contributions (see instruction for using LaTeX below).
If there are no formulas or special symbols in the text, contributions to the Bulletin can be submitted as an ASCII file, in which case it can be sent by e-mail to the Coordination Centre (ercoftac@epfl.ch) or on a floppy disk.
The ERCOFTAC Bulletin is typeset with Adobe PageMaker 6.5 on a PC. This program is able to import text and some formatting from ASCII files and from Microsoft Word files. It is also able to incorporate image files of most standard formats.
Contributions prepared electronically can be sent to the Coordination Centre on a 3,5" diskette, together with a printed copy of the text and the original figures. The files can also be sent as e-mail attachments to the Coordination Centre.
For authors who would like to use LaTeX, a LaTeX ercoftac style file can be requested from the Coordination Centre. Any LaTeX contribution should be submitted exactly as the author would like it to appear in the bulletin. All figures and tables should appear in the final .dvi/.ps file. Please note that the PageMaker program cannot convert LaTeX files, and the following procedure is followed: a LaTeX contribution is converted from a .dvi file to a PostScript file (if necessary), and this postscript file is printed on pages with the Bulletin layout.
A known problem with using the LaTeX ercoftac style file is that not all fonts are present on each computer system. If this is the case, delete the different fonts from the ercoftac style file. The most important thing when using the ercoftac style file is to get the formulas correct in a two column format. Contributions prepared with LaTeX can be sent by E-mail to ercoftac@epfl.ch. Please include all special style files, and all necessary files for references.
Contributions are also very welcome "camera ready" in the Bulletin layout. This is two-column, with title across both columns. Times Roman print at 10 pt is preferred, with headings in Helvetica. Column width is 81 mm, with 8 mm between columns; printed height is 250 mm. 25 mm should be left at the page foot for the standard Bulletin footer. In preparing camera ready copy please be guided by considering pages from a past Bulletin.
